Annual Board Meeting – Part 2

Doubledays
Present: Carl Pulvermacher, Susan Welsch, Tim Karls, Jim Johanns, Jim Klinkner, Mike Vavrus, Harvey Potter, Denise Feivor, and Don Meyferth
Election of CGSC board members:

Budget approval:
2006-07 budget approved.
Carl revisited the topic of the CGSC establishing a credit card account. Susan Welsch will check into this. Following is action taken by Susan regarding this issue - Wisconsin Community Bank offers a business credit card for $25 and they have agreed to waive this fee because we are a non-profit. I had to declare a monthly limit, which I set at $5,000.00. I suspect this will be fine except for the rare occasion when the entire club replaces uniforms at once, etc.
Each person that will receive a credit card needs to provide their driver license number and social security number as well as sign the application. Individuals with CGSC credit cards will be equipment coordinator, uniform coordinator, treasurer and club president.
Registration Fee refunds
Discussion was had concerning for what reasons, if any, and when registration fee refunds would be issued. It was decided that further research into how other clubs handle this situation would be necessary before developing a written policy on the matter. It was proposed that the board approved giving full refund to those requesting one before July 1 st. Carl suggested that no refund be given for any reason once child is rostered to a team and that team is registered through MAYSA. (This year we had an unusually large number of people requesting refunds simply because they didn’t like the team they were placed on.)
It was decided that those requesting refunds this year would receive a $30 refund. A policy will be put into place before 2007 – 2008 registration.
Waived registration fees for coaches
It was proposed that all head coaches get their registration fee refund with their fall referee check. Would insure better “book keeping” and guarantee that all head coaches receive the waived fee. Approved.
In addition to head coaches getting their fees waived, it was decided that one other individual (assistant coach or team manager) – head coach to determine which person – would receive ½ registration refund.
It was also decided that those volunteering for more than one position in the club would get a registration refund for each position. (i.e. individual coaches 2 soccer teams – will receive 2 registration fee refunds. OR individual coaches 1 team and is a board member – will receive 2 registration fee refunds. )
Susan Welsch will put together a list of all positions and/or duties in the club (i.e. board member, field manager, coaches, etc.) The Board will then review this list and decide which duties warrant the reduced or 100% registration fee refund.
Adding this info to the by-laws will be addressed at next meeting.
Player Pass Cards
Discussion was had on whether the parent or club should cover the cost of the player pass card. It was decided that for the 2006-2007 soccer season the parent would be required to cover the cost. In future years, the club will cover the required costs.
Logo
Carl reported that all of the CGSC logos previously ordered through Big Toe Soccer had been used. Recommendation was made to purchase additional logos through Middleton Cycle. Middleton Cycle will maintain stock of the CGSC logo with no up front payment required. They will charge $3/logo applied. Approval was given to order additional CGSC logos from Middleton Cycle.
Gym Time
Susan Welsch has reserved Taylor Prairie gym for Friday nights during winter months from 5:30 – 8:30 on the following Fridays. Gym dates are: 1/5, 1/19, 1/26, 2/9, 2/16, 3/2, 3/9, 3/16, and 3/23
Gym time will be organized by age groups:
U9 – U10: 5:30 – 6:30
U11 – U12: 6:30 – 7:30
U13 – U14: 7:30 – 8:30
Format will be an open gym concept. Any player can show up during their designated time slot IF there are coaches there to supervise. Coaches can volunteer their time to supervise on any or all of the dates listed above. Contact Susan Welsch to volunteer for dates/times. Open gym info can be posted on the website. Coaches need to make their team parents aware that this isn’t a babysitting service and that each parent should check with the coaches on hand for the open gym to make sure that their assistance is not needed before leaving.
Merge with Monona and Cap City Soccer Clubs
Committee to represent CGSC in meetings with Monona and Cap City Clubs was formed at 8-29-06 meeting. Committee members are: Carl Pulvermacher, Jim Johanns, and Joanna Schmidt. More detailed information can be found in the 8-29-06 meeting notes.
UW concession stands at Kohl Center
The National W Club is looking for a limited number of non-profit organizations to staff concession stands at the Kohl Center this year and for years to come. The group earns a percentage of sales while working Badger Men’s Hockey games, Men’s and Women’s Basketball games, as well as various concerts.
It was determined that there are not enough resources within the club at this time to take on this responsibility. The issue can be revisited at a later date, if more volunteers step forward.
Other business
Jim Klinkner proposed that the club consider upgrading their First Aid kits. He will research this matter (i.e. cost, what to include in kit, etc) and report back to the Board at a future meeting.
Jim Klinkner also recommended that coaches be given the opportunity to become CPR certified. He will research this matter and report back to the Board at a future meeting.
Spring Only player registration fees need to be determined. This should be added to the next meetings agenda.
Approval was given to purchase 8 portable goals for the K-1 soccer program. Jim Johanns will place order with Middleton Cycle.
